Files, plans and site photos

The point of storing documents against the project is that in three years the file and the figures are still in the same place.

Three areas, three purposes

  1. Files for documents: the contract, the bills, warranties, correspondence, signed daywork sheets.
  2. Plans for drawings, with folders and markup.
  3. Photos for site records, which are dated evidence rather than filing.
Worth knowingSigned daywork sheets, executed bonds and the schedule of defects as issued are the three things most often needed later and least often filed at the time.

Folders

  1. Create folders in Plans and Files to match how your practice files.
  2. Rename them at any time; the documents inside are unaffected.

Site photographs

Photographs carry the date they were taken. On a disruption or delay claim, dated progress photographs are contemporaneous evidence, and there is no way to create them afterwards.

Take more than feels necessary, monthly, from the same positions. It costs ten minutes and it is the only record that cannot be reconstructed later.

Who can see them

A guest invited to a project sees only what you have shared with them. Files, plans and photos follow the same access rules as the rest of the project.
